Privacy Policy

What's public, what stays private, and what you can do about either. Written to be read, not skimmed past.

01Our approach

Mosaic is a public record of film work and a private workspace for making it. Those two things are kept apart on purpose. Your profile and credits are meant to be found; your schedules, budgets, rates, messages, and archived projects are not. We don't sell member data, and we don't run advertising against it.

02What we collect

  • Account details — name, email, handle, password credentials handled by our authentication provider.
  • Profile material — role and department, location, bio, links, portraits and headshots, reels, company affiliations, credits and filmography.
  • Cast vitals — if you're a performer and choose to add them: union status, representation, and the physical details casting asks for.
  • Availability and rates — visible publicly only when you switch that on.
  • Production material — projects, checklists, schedules, budgets, release and festival plans, and documents you import.
  • Activity — bookings, claims, submissions, messages, and basic usage and device logs used to keep the service running and secure.

03What's public and what isn't

Public: your profile page, handle, role, published credits, published film and company pages, and anything you deliberately publish. These are indexed by search engines.

Private: your email, Toolkit contents, imported documents, archived projects, booking conversations, messages, casting submissions, and your rates unless you've made them public. Private records are protected at the database level so only you and the people you've invited can read them.

04How we use it

  • to run your profile, credits, Toolkit, and bookings;
  • to make people findable in Explore and cast and crew search;
  • to notify you about claims, bookings, messages, and workshop programming;
  • to process material you import so it can populate your Toolkit;
  • to keep the platform safe — spam, impersonation, and false-credit checks;
  • to understand aggregate usage so we can improve the product.

05Who processes data for us

We use a small set of service providers to operate Mosaic: cloud hosting and database infrastructure, transactional email delivery from notify.moonmosaic.co, file storage for images and documents, and document-processing services used when you import project material. They act on our instructions and can't use your data for their own purposes.

We share information with other members only where the product obviously does so — a claim you send to a project host, a booking request you send to a crew member, a casting submission you make.

06How long we keep it

We keep your account material while your account is open. Archived projects stay in your account until you delete them. When you delete your account we remove your profile, private Toolkit material, and messages, and retain only what we need for legal, security, or accounting reasons. Credits you added to another person's project may remain as part of that project's record, with your name detached on request.

07Your controls

  • edit or remove any part of your profile at any time;
  • hide or show your rates and availability;
  • archive a project to pull it off the public site while keeping it in your account;
  • request a copy of your data, or ask us to correct or delete it;
  • unsubscribe from non-essential email from the footer of any message.

08Cookies

We use cookies and local storage to keep you signed in and to remember preferences, plus privacy-respecting analytics to see which pages get used. We don't use third-party advertising trackers.

09Security and location

Data is encrypted in transit, access to private records is enforced per-row at the database, and administrative access is limited. Our infrastructure and providers may store data in the United States and other countries; if you're in the UK or EU, we rely on standard contractual protections for those transfers.

10Minors

Mosaic isn't for children. You must be 18 or older to hold an account. Minors appearing in a production should be represented by a guardian, and we remove profiles created for anyone under 18.

11Changes and contact

We'll update this policy as the product grows and will change the date at the top when we do. For a data request, a correction, or a question about any of this, reach us through the contact page.
